Setting up Palmspire Voice

Ten minutes, done by a HubSpot Super Admin once, then about a minute per user. This guide is specific to the Palmspire Voice integration and is open to everyone. No login is needed to read it.

Before you start

Step 1. Install the app

Open Palmspire Voice in the HubSpot App Marketplace and choose Install. HubSpot shows you the account you are installing into and the exact scopes the app asks for. Once it is installed, the app itself always opens from the Marketplace icon in HubSpot's top bar.

Step 2. Approve the permission screen

Palmspire Voice is a user-level app: each person who wants to talk to Palmer approves it for themselves on HubSpot's own permission screen, and Palmer can only ever see and change what that person could see and change in HubSpot.

These are the scopes requested and why each one is there:

The app never asks for a scope to send email, to read your inbox, to manage users, or for any property HubSpot marks as sensitive.

Step 3. Assign seats

Open Palmspire Voice from the HubSpot navigation, then the Seats tab. Each person who has connected their HubSpot user appears in the list. Assign a seat to each person who should be able to talk to Palmer. A user without a seat sees a message telling them to ask an admin.

Step 4. Set the account preferences

In HubSpot, go to Settings, Integrations, Connected Apps, Palmspire Voice. Here an admin sets the assistant's name and colour, the default voice, the daily voice minute limit per user, how long a quiet session stays open, and whether the microphone stays open between turns. There is also a switch that pauses every change to your CRM while leaving questions working.

Step 5. Use Palmspire Voice

  1. Open Palmspire Voice from the Marketplace icon in HubSpot's top bar and choose Start talking.
  2. Allow the microphone when the browser asks.
  3. Try "what deals close this month?" or "show me my open tasks".
  4. Now try a change: "set the Acme deal amount to nine thousand". Palmer shows a card with the record and the exact value.
  5. Read the card and choose Approve. The change is written and a note is added to the record.

Step 6. If something goes wrong

Open Palmspire Voice and look at Recent changes at the bottom of the window. For seven days after a change, property values can be restored with one click. The restore goes through the same approval card, and it tells you if a colleague has changed the same property since. Records that Palmer created cannot be deleted by the app, because HubSpot's tools for AI assistants do not delete anything; Mark void renames the record and leaves it for you to delete in HubSpot.

Disconnecting one user

  1. In HubSpot go to Settings (the gear icon), then Integrations, then Connected Apps.
  2. Choose Palmspire Voice, then open its Settings tab.
  3. Choose "Disconnect me", the red button at the bottom of that tab.

This deletes that user's stored HubSpot tokens immediately, so Palmer can no longer act as them. Their voice minutes and the notes already written to records stay where they are, because they are part of your CRM history.

Uninstalling the app for the whole account

  1. In HubSpot go to Settings (the gear icon), then Integrations, then Connected Apps.
  2. Choose Palmspire Voice, open its Actions menu, and choose Uninstall.
  3. Confirm. HubSpot revokes every scope for every user in the account at once.

What happens to your data

On disconnect or uninstall, we delete: the affected user's stored HubSpot tokens, that user's seat assignment, and (after their seven-day window) the recent-changes journal entries tied to their approvals. What remains, because it is your CRM history and not ours: the notes Palmer wrote onto your records, and the property values already written by an approved change.
